Administrative Assistant in Florence

ACM seeks an Administrative Assistant for the fall 2018 Florence program. The Administrative Assistant receives a stipend of $500 for working a total of 30-35 hours over the course of the semester. Participation in the fall 2018 Florence program is required for this position.

Once on-site, the Administrative Assistant will respond directly to Jodie Mariotti, the Florence Program Director. Marlee Stein, Off-Campus Study Program Coordinator, supervises the assistant remotely from the ACM office.

Responsibilities include:

  • Cataloging books, articles, films, CDs and DVDs in the program database or an online catalogue hosted by LibraryThing.
  • Helping students check books in and out of the library.
  • Maintaining the library by shelf-reading and keeping books in order.

Other responsibilities include (but are not limited to):

  • Cooperating with professors to organize reserved material for courses.
  • Assisting fellow students to find books and research material.
  • Assisting the Florence Director and Florence Program Coordinator.
  • General office work, including making copies, answering the phone, and working the information desk.
  • Curating digital photo collections at the request of professors.

Required skills: 

  • Good time management skills, flexibility, and consistency
  • Familiarity with common cataloguing systems (LC, Dewey Decimal, etc.)
  • Experience using a personal computer, copy machine, and scanner
  • Understanding of Google platforms, include Google Sites and Google Drive
  • Experience using Windows, Mac, and Microsoft Office
